You've decided to work with an outside team on your website or your CRM. Maybe the agencies near you are booked for months. Maybe you want one team that builds both the website and the system behind it. Finding agencies is the easy part. The hard part is telling which one will still answer your emails six months after launch. We run our projects remotely at WebifyGO, so we've seen what makes a remote partnership work and what makes it fall apart. This is the checklist we'd use if we were in your seat.
Key takeaways
- Judge how an agency communicates before you sign, not after.
- Make sure you own the domain, the data and the admin accounts from day one.
- Ask exactly what happens after launch: support, changes and who answers.
- A good partner explains your project in plain words and shows you working software early.
1. How Do They Communicate Before You Sign?
The sales stage is a preview of the whole project. If replies are slow and vague now, while they're trying to win your business, they won't get faster once you've signed.
Pay attention to small things. Do they ask about your business, or go straight to features? Do you get a written summary after the first call? Do they say when something isn't a good fit?
Three questions worth asking on the first call:
- Who will be my day-to-day contact, and who actually does the work?
- How often will I see progress, and in what form?
- When can I reach you, and how quickly do you reply?
2. Who Owns What?
This is the question most businesses forget to ask, and the one that hurts most later. If the relationship ends, you should be able to walk away with everything that's yours.
| Item | What you want | Red flag |
|---|---|---|
| Domain name | Registered in your name | Sits in the agency's account |
| Hosting and server access | Your account, or access that's written down | “We handle it”, with no logins ever shared |
| Website and CRM content | Your team can edit it | Every small change needs a support request |
| Customer data | You can get it out whenever you need it | No clear answer on how |
| Admin accounts | Your own admin user | One shared login for everyone |
3. Can They Show You, Not Just Tell You?
Screenshots and portfolios are a start, but they don't show you what working with the system feels like. Ask to see the admin side: where your team will edit pages, publish posts and handle enquiries.
In our first calls at WebifyGO we show the real system. Blog posts, service pages, leads, quotes and invoices are all managed from one place, and your team can use it without calling us for every change.
4. Do They Understand Your Business, or Just the Technology?
A transfer company needs bookings and driver schedules. A consultancy needs quotes and follow-ups. A distributor needs product catalogues and repeat orders. The technology can be similar, but the way work moves through each business is completely different.
A good partner asks how an enquiry becomes a client in your business before suggesting any tool. If the first conversation is all about frameworks and plugins, be careful.
5. How Do They Handle Changes During the Project?
Scope changes will happen. You'll see the first version and realise you need one more page, one more field or a different flow. That's normal. What matters is how it's handled.
- How do you request a change?
- Who tells you what it affects, including the timeline?
- Is it approved in writing before anyone starts work?
If the answer is “just send us a message”, ask how they keep track of what was agreed.
6. What Happens After Launch?
Launch day is the start of the relationship, not the end. Before you sign, get clear answers to these:
- Bugs: who fixes them, and how do you report one?
- Small changes: can your team make them, or do they always go through the agency?
- Training: will your team learn to publish content and manage clients on their own?
- Search rankings: if it's a redesign, are old URLs redirected so you keep the traffic you already have?

Many businesses hire one agency for the website and another for the CRM. Then enquiries get lost between the two: a form sends an email, someone is meant to copy it into the CRM, and on a busy week nobody does.
Ask whether website forms will create leads in the CRM directly, with the page and source attached. We explain why this matters in Your Website Brings Visitors. Your CRM Turns Them Into Clients.
Red Flags to Watch For
- They can't tell you who will actually work on your project.
- They push you to sign quickly.
- There's no written scope, only a call and a total.
- They're vague when you ask who owns the domain, the data and the accounts.
- They go quiet between the sales call and the kickoff.
Your Checklist Before Signing
Do you know who your day-to-day contact is, and when you can reach them?
Is it clear that the domain, data and admin accounts are yours?
Have you seen the admin side your team will actually use?
Did they ask how your business works before proposing a solution?
Is there a written way to request and approve changes?
Do you know what support, training and redirects look like after launch?
Will website enquiries land in the CRM without anyone retyping them?
Once you've picked a partner, the next question is how the project runs day to day. We cover that in How We Run Web and CRM Projects Across Time Zones.
